The Terms and Conditions

BOOKING TERMS & CONDITIONS – 20 November 2025

1.Booking Your Activity

1.1. All bookings are made with Seven Hills Outdoors (“We” or “Us”).

1.2. To make a booking, please complete the online enquiry form on [www.sevenhillsoutdoors.co.uk] or email us at [dan@sevenhillsoutdoors.co.uk]with details of the course or event you wish to attend.

1.3. Your booking is only valid once it has been confirmed. A booking will be confirmed once:

  • We have received a completed medical declaration and consent form from you.
  • Payment in full has been received via bank transfer or card payment.
  • We have confirmed your booking in writing.

1.4. By completing the online booking form, you confirm that you have read, understood, and accept these Terms and Conditions.

2. Changes to Your Booking

2.1. If you wish to change a confirmed booking, we will try to accommodate your request, subject to availability. An amendment fee of £10 per booking will apply.

2.2. Any change requests must be made in writing at least 72 hours before the activity start time.

3. Cancellation by You

3.1. To cancel your booking, you must inform us in writing or by email. The cancellation date will be deemed to be the date we receive your written notification.

3.2. Cancellation fees are as follows:

  • More than 30 days before the activity: Full refund minus £10 per person administration fee.
  • 30-15 days before the activity: 50% of the total price.
  • 14 days or fewer before the activity: 100% of the total price.

4. Cancellation by Seven Hills Outdoors

4.1. Seven Hills Outdoors reserves the right to cancel any activity if we reasonably determine that:

  • Weather or ground conditions pose a risk to health and safety.
  • Participants are inadequately equipped, posing a risk to health and safety.
  • Disclosed or undisclosed medical conditions pose a risk to health and safety.
  • Participant behaviour poses a risk to health and safety, impacts the enjoyment of others, or is illegal.
  • There are insufficient participants for the activity to be financially viable.
  • Participants fail to follow reasonable instructions for health and safety.

4.2. We will attempt to modify or change the activity to accommodate the circumstances. If this is not possible, we will inform you as soon as possible, which may be on the day of the activity.

5. Modification/Changes to Your Booking

5.1. The Guide may change any aspect of the activity if conditions or participant abilities pose a risk.

5.2. Any significant changes will be communicated to you as soon as possible, which may be at the start or during the activity. For changes to participation numbers, you will be notified at least one week prior to the activity.

6. Cancellation – General

6.1. We do not accept responsibility for any other costs incurred by you, such as travel, accommodation, or other associated expenses related to your booking.

6.2. We are not liable for missed connections or transport booked independently of Seven Hills Outdoors.

6.3. The Guide has the authority to make decisions that affect the group or individuals and to give reasonable instructions during the activity. If a participant’s health, fitness, behaviour, or unlawful conduct poses a risk, the Guide may require them to leave the group without a refund.

7. Refunds

7.1. In the event of a cancellation by Seven Hills Outdoors due to force majeure (e.g., war, riots, natural disasters, severe weather), participants will be notified as soon as possible and will be offered one of the following options:

  • An alternative activity on the same date.
  • An alternative date for the same activity.
  • An alternative date for a different activity of equal value.

7.2. For cancellations by Seven Hills Outdoors for other reasons, participants will be offered either a full refund or the opportunity to rebook for another available activity.

8. Complaints

8.1. If you have any complaints during the activity, you must inform your Guide immediately.

8.2. If the issue is unresolved, please provide full details of your complaint in writing within 28 days of the activity’s conclusion.

9. Liability & Participation

9.1. Engaging in adventurous activities involves inherent risks. Participants must accept responsibility for these risks. Seven Hills Outdoors is not responsible for any loss, damage, injury, or death caused by illness, injury, or death except where this arises from our negligence.

9.2. Seven Hills Outdoors is not liable for loss of profit, indirect or consequential loss, uninsured loss of personal property, or losses arising from strikes, industrial action, war, sickness, quarantine, government intervention, weather conditions, or other unforeseen circumstances.

9.3. A participant leaving an activity at any stage will not be entitled to a refund or compensation, unless agreed by Seven Hills Outdoors in advance.

10. Data Protection & Privacy

10.1. Seven Hills Outdoors ensures appropriate security measures to protect your personal data. Please refer to our Privacy Policy for details on how we collect, use, and store your data.

11. Insurance

11.1. We strongly recommend that you obtain comprehensive insurance that covers cancellation, medical expenses, travel delays, search & rescue, equipment loss, theft, and evacuation costs, in relation to the activities you book with us.

12. Consent to Use Images & Videos

12.1. By agreeing to these Terms and Conditions, you consent to Seven Hills Outdoors capturing photographs and/or video footage during the activity for publicity and training purposes, unless you opt out in writing prior to or at the time of the activity. Photos and videos supplied by you or other participants may also be used for these purposes.

13. Interpretation

13.1. “Seven Hills Outdoors” refers to the trading name of our business.

13.2. “Guide” refers to the activity leader (e.g., mountain leader, freelance mountain leader, or freelance hill and moorland leader).

13.3. “Activity” refers to any activity provided by Seven Hills Outdoors, including guided runs, walks, guide hire, or navigation courses.

13.4. “Participant” or “Client” refers to any individual who has a confirmed booking for one of Seven Hills Outdoors’ events.
